Cancellation & Refund Policy
Competitive & Development Programs
Commitment Upon Registration
Registration in any Toronto Athletic FC Academy Competitive or Development program constitutes a binding, non-refundable financial commitment for the full season. All fees paid are non-refundable upon registration. The sole exception to this policy is a serious medical injury, as outlined below. No other circumstances will be considered.
By registering, the player’s family acknowledges that:
- Roster spots are limited and their acceptance may have displaced another player from the program.
- The Toronto Athletic FC Academy incurs significant and non-recoverable costs upon acceptance, including league registrations, facility permits, coaching staff, and equipment.
- Voluntarily leaving the program for any reason: including but not limited to personal circumstances, scheduling conflicts, dissatisfaction with coaching, team placement, or playing time, does not entitle the family to a refund of any kind.
No Refund Policy
The Toronto Athletic FC Academy operates a strict no-refund policy. Outside of the two exceptions outlined below, no refund, partial or full, will be issued under any circumstances, including but not limited to:
- A player or parent is suspended or expelled from Ontario Soccer or Toronto Athletic FC Academy for violations of discipline policies or codes of conduct.
- A player voluntarily leaves the program for any reason not outlined in the exceptions below.
- A player or parent disagrees with coaching decisions, team placement, tier assignment, playing time, or any other program decision made by Toronto Athletic FC Academy staff.
- Relocation to another city, province or country during the season.
Exceptions
Refunds will only be considered in the following two circumstances:
1. Team Dissolution
If Toronto Athletic FC Academy is unable to field a team or provide a reasonable program alternative, a pro-rated refund will be issued less any costs already incurred by the club.
2. Serious Medical Injury
If a player must withdraw due to a serious medical injury or condition that prevents participation, a refund may be considered provided all of the following conditions are met:
- The injury or medical condition must occur prior to 10% completion of the program.
- Must be reported in writing within 7 days of diagnosis.
- Must be supported by medical documentation as requested by the Toronto Athletic FC Academy.
- A pro-rated refund will be calculated, less a $400 club administration fee. No refund is available after 10% of the program has been completed.
No other exceptions will be made. Outside of team dissolution or serious medical injury, no refund, partial or full, will be issued under any circumstances.
Weather & Facility Cancellations: No refunds will be issued for sessions cancelled due to severe weather or facility closures. Occasional cancellations due to weather, national/civic holidays, school events, or facility conflicts are reflected in our overall pricing. For this reason, refunds or credits cannot be issued for single cancelled or missed sessions. The Toronto Athletic FC Academy remains committed to delivering full program value through consistent training, quality coaching, and ongoing player development pathway opportunities throughout the season.
Financial Commitment & Program Costs
Unlike recreational programs, competitive academy programs require the Toronto Athletic FC Academy to commit to league entries, coaching contracts, facility bookings, and team registrations well before the season begins. When a player withdraws, the Toronto Athletic FC Academy cannot recover these costs or easily fill roster spots mid-season. The integrity of the team, and the development of every other player on it, depends on full roster commitment from all families.
Outstanding Fees & Ontario Soccer Standing
Any family with outstanding unpaid fees at the time of a player’s departure from the Toronto Athletic FC Academy remains fully responsible for those obligations. Fees are not extinguished by a player’s departure or de-registration.
Families are advised that under Ontario Soccer Association rules:
- OSA Rule 1.83: An individual shall be deemed Not in Good Standing if they have overdue unpaid fees or other financial obligations to a sanctioned member organization.
- OSA Rule 10.3: A player who has been de-registered during the playing season may not register as a new player at any other club until they are deemed to be in good standing and have submitted a transfer form to their former club.
Any outstanding debt owed to the Toronto Athletic FC Academy will be applied against any potential refund owing.
How to Submit a Refund Request
All refund requests must be submitted in writing via email to [email protected]. Requests made by phone, in person, or through any other channel will not be processed. Please allow 4–6 weeks for eligible refunds to be processed.
Tournament Fees
Tournament fees, including coach costs (team entry/registration fees, coach accommodations, and travel), are the responsibility of team families and are non-refundable once committed.
